Properly is a service from Melrose Development Services Ltd ("we", "us"). This notice explains what personal data we handle and why. Last updated 16 October 2026.
Our role
For the details you give us when you request access or use Properly (your name, email, company and any message), we decide how the data is used, so we are the data controller.
For the information about your properties and tenants that you upload (for example tenant names, contact numbers, rent and lease details), you decide what to upload and why, so you are the controller and we process it on your behalf, only to provide Properly to you.
What we collect
- Request-access form: your name, email, and optionally your company and a message.
- Your account: your name, email and a hashed password (we cannot read your password), plus when you accepted your invite.
- Portfolio data you upload or enter: property and unit details, rent and lease dates, compliance dates, tasks you create, and any tenant names and contact numbers that are in your spreadsheet.
- Copilot questions: when you ask the Copilot something, your question and the relevant portfolio data are sent to our AI provider to generate an answer. The conversation itself is not saved in our database.
- Payments: card payments are handled by Stripe. We keep a Stripe customer reference and your plan status, never your card number.
- Visit statistics: we use Vercel Web Analytics to see page views, where visitors came from and the type of device or browser. It does not use cookies or build a profile of you.
Why we use it
- To reply to your request and to provide Properly to you (including taking payment).
- To keep the service secure and to understand how the website is used (our legitimate interests).
- To meet legal and accounting obligations.
We do not sell personal data and we do not use it for advertising.
Who we share it with
These providers process data for us:
- Vercel: website hosting and visit statistics.
- Neon: the database where account and portfolio data is stored (hosted on Amazon Web Services).
- Anthropic: the AI that powers the Copilot, which receives the data needed to answer your question.
- Stripe: payments.
Where it is stored
Our database is hosted in the United States (AWS US East), and some of our providers also process data outside the UK. We use providers that publish data processing terms covering international transfers.
How long we keep it
We keep request-access details until we have replied and for a reasonable time afterwards. We keep account and portfolio data while your account is active. If you close your account or ask us to delete your data, we will delete it, although some records (for example payment records held by Stripe) may be kept where the law requires.
Cookies
We use one cookie, to keep you signed in. It is strictly necessary for the service to work and lasts up to 30 days. Our analytics does not use cookies.
Your rights
You can ask us for a copy of your personal data, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable format. If you are a tenant whose details were uploaded by a landlord, please contact that landlord first, as they decide how your data is used.
To use any of these rights, or to ask a question about this notice, contact us through the form on our homepage and say it is a privacy request. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
